Documentation Technician (Library) - Regular Full-time
ROLE SUMMARY Under the supervision of the Specialist in Information Science, the Documentation Technician performs technical tasks related to the organization and operation of the library with a focus on acquisitions. Within these duties, the technician will provide technical assistance in several areas of library services.
DUTIES The Documentation Technician is required to work in the following areas:
CATALOGUING
➢ Create derived and original cataloguing entries in compliance with current library standards using Z39.50 protocol, LCSH, AACR2, RDA, and the Library of Congress Classification schedules.
➢ Recognize and correct cataloguing errors, when appropriate, in the online catalogue.
➢ Participate in tasks which include but are not limited to: database clean-up, property stamping, labeling, bar coding, and preparing new materials using established library procedures.
ACQUISITIONS AND PROCESSING
➢ Performs all tasks related to physical handling of books;
➢ Assist in developing and processing acquisition requests in a timely manner;
➢ Assist in developing and processing acquisition lists;
➢ Use the acquisition module in Koha for adding records for receiving;
➢ Checks in new materials against invoices and checks for damage;
➢ Assist with claims for library materials that have not been received or where there are errors;
➢ Communicate with library vendors over ordered materials;
➢ Receive acquisitions, mail and related vendor materials;
➢ Keeps up-to-date records on library related forms.
COLLECTION MAINTENANCE
➢ Reorganizes and re-shelves books as needed;
➢ Does regular inventory of various collections;
➢ Moves parts of the collection as needed;
➢ Does shelf-reading.
ARCHIVAL SERVICES
➢ Acts as the resource person to various staff members at Heritage regarding records and archive management in accordance with Heritage’s Policy #22: Concerning Records and Archives Management and the Quebec Archives Act;
➢ Keeps the College Classification Plan, Conservation Calendar and Retention Schedules up to date with the Bibliothèque et Archives nationales du Québec (BAnQ) standards.
PUBLIC SERVICES
➢ Provides circulation duties, including contacting patrons regarding holds and overdue items checking in and out materials;
➢ Perform other special requests / projects as required, including the preparation of displays;
➢ Takes care of booking the seminar rooms;
➢ Maintains and enforces library policies around food etc.;
➢ Assist patrons in utilizing all library services, printing and photocopying services, and programming;
➢ Maintain excellent public relations with library users;
➢ Provide information, research and reference services using print and electronic tools;
➢ Follows up with students who have lost or damaged library materials;
➢ Performs database maintenance procedures related to circulation;
➢ Keeps borrower module of Koha current as library users arrive and depart.
Miscellaneous
➢ Performs opening/closing duties;
➢ Gives directional assistance as needed;
➢ Maintains photocopier and printer in working order (keeps stocked with paper, toner, takes care of service calls);
➢ Lends various items to students (staples, scotch tape, rulers, pencils, etc.);
➢ Orders day-to-day supplies;
➢ Handles library forms.
General Requirements
➢ Lifting and pushing up to 10 kg of library materials;
➢ Ability to squat, kneel, bend, and raise arms above shoulders;
➢ Working and typing at a computer for extended periods of time;
➢ Standing for extended periods of time. MINIMUM QUALIFICATIONS REQUIRED
Must have a diploma (DEC) in Information and Library Technologies or equivalent.
Must possess very good communication skills in English and in French (oral, written and comprehension).
ADDITIONAL QUALIFICATIONS
Experience with acquisitions, processing and ordering books using Koha.
Demonstrated knowledge in the use of various online databases, automated library systems (i.e. Koha), and related searching tools and techniques.
Knowledge in the use of RDA cataloguing standards, with an understanding of new and emerging trends in bibliographic description. Knowledge of the RDA Toolkit will be considered an asset.
Recent experience and expertise applying Library of Congress Classification and Subject Headings; knowledge of Classification Web will be considered an asset.
Knowledge of the Bibliothèque et Archives nationales du Québec (BAnQ) Classification System will be considered an asset.
Knowledge of and experience using LibApps (e.g. LibGuides, LibCal, etc.) is a strong asset.
Experience providing research and reference services to a diverse client base.
Experience in an academic setting will be considered an asset.
Familiarity with document preservation and archival standards.
Must possess excellent communication, organizational and interpersonal skills.

SALARY RANGE $26.63 to $34.45
