JOB SUMMARY UNDER THE DIRECT SUPERVISION OF THE ADJOINTE ADMINISTRATIVE, TO PERFORM VARIOUS ADMINISTRATIVE AND TECHNICAL DUTIES FOR HUMAN RESOURCES SERVICES.

DUTIES AND RESPONSIBILITIES

Continuing Education evening credit and Summer School Faculty - Administration Assure technical administration of contracts and schedules for credit courses in Continuing Education's evening DEC and Summer School Update the SRIC/ GEREMI/ HR/Payroll system and advise payroll of changes

Faculty GOS/Postings - Continuing Education EVENING DEC and Summer School Determine the order of priority of internal applicants in accordance with the rules governing priorities Create ATS requisitions for internal and external job postings Is responsible for cross-posting and external advertising as required Post job vacancy notices on the JAC Portal and HR Information Boards, and send notice to JACFA * Receive and respond to questions from employees/external applicants regarding the ATS on-line application system

Day Division Faculty (40%) – Administration Receive and respond to faculty issues in accordance with the Faculty Collective Agreement Assure technical administration of contracts and liaise with teachers as needed Validate workloads and prepare contracts for non-permanent faculty and ensure appropriate follow-up within prescribed deadlines Update the Clara/ HR-Payroll (Geremi) system Up-date schedule for part-time teachers and teachers on leaves of absences per semester and revise as required Evaluate scholarity and experience documents for the classification of Day Division Faculty, ensure proper follow-up and process files within the prescribed delays * Produce letters and prepare supporting documents for Day Division faculty - Employment confirmation - Attestation of scholarity letters

- Attestation of Experience Update and maintain GSEC system data (MESRST - Bureau de Placement) Open employee dossiers for new faculty members and ensure all required documents are received and included accordingly * Responsible for the following disciplines: Pharmacy, Nursing, Paramedic Care, Chemistry, Physics, Geology, Eng. Tech, police Tech, Geography, Anthropology, ILT, visual Arts, Art History, Media Arts, French, Spanish, Italian, German, Mandarin & Indigenous.

Faculty GOS/Postings - Day Division (40%) Liaise with departments for all matters concerning hiring Determine the order of priority of internal applicants in accordance with the rules governing priorities Ensure the respect of hiring guidelines Create requisitions for internal and external job postings Post job vacancy notices on The Portal Determine internal candidate priorities Advise Bureau de Placement of available posts and full-time "charges" via GSEC's on-line system Provide guidance and training to faculty regarding the on-line application system * Act as HR representative on selection committees for the hiring of Day and Cont. Ed faculty.

Leaves of Absences – Day Division Faculty Oversee and respond to questions regarding leaves of absences Verify eligibility of requests that are submitted and notify teachers of decisions in writing Acknowledge leaves of absence, in writing, as indicated in the Collective Agreement Prepare "Leave of Absence List" for distribution and post copy on Deans and Chairs Community * Input leave of absence information and schedules on the HR-Payroll (Geremi) system and ensure that it is kept up-to date to reflect the employee's leave status for payroll purposes

TIME MANAGEMENT * Inputting all Faculty TEPA forms

OTHER Participate in a variety of continuous improvement projects Document work processes and update as needed * Perform any other related tasks as may be

EDUCATION: Diploma of college studies (DEC) in Business Administration or another related field or, equivalent studies/diploma which is recognized by the competent authority.
