JOB SUMMARY UNDER THE DIRECT SUPERVISION OF THE OPERATIONS MANAGER OF CONTINUING EDUCATION, TO PERFORM VARIOUS ADMINISTRATIVE TASKS FOR THE SERVICES OF THE CENTRE OF CONTINUING EDUCATION.

DUTIES AND RESPONSIBILITIES

  • Welcome and assist prospective and current students by responding to inquiries in person, by phone, and by email in a polite, professional, and timely manner, in both English and French.
  • Serve as a primary point of contact for students enrolled in the Centre for Continuing Education, providing guidance and referring them to the appropriate resource or staff member when needed.
  • Provide clear and accurate information related to admissions, programs, courses, schedules, and student services.
  • Provide administrative support to program coordinators and managers, of various educational programs and courses, including Recognition of Prior Learning services (RAC), such as: o Prepare, organize, and distribute materials for information sessions, interviews, and assessments to ensure a positive and well structured student experience.
  • Prepare aptitude test materials and invigilate in-person testing sessions, ensuring a fair, respectful, and supportive testing environment for applicants.
  • Monitor the student Brittain Hall lounge to help maintain a welcoming environment.
  • Ensure classrooms are open and ready for instructors and students.
  • Assign student lockers upon request.
  • Provide administrative support to program coordinators and managers: o including document archiving, o requisitions, invoices, o and bi-weekly time management and attendance.
  • Prepare AEC attestations and other certificates for students upon completion of their programs.
  • Assist with the planning and organization of student-focused events such as welcome activities, information sessions, and graduation ceremonies.
  • Liaise with internal College service units (Registrar's Office, Financial Services, ITS, Security, etc.) to ensure timely support of student and program needs.

  • Develop a schedule to carry out the above listed activities independently in a timely and efficient manner.

  • Participate in departmental meetings.
  • Perform other related duties as assigned by the Manager in support of students and departmental operations.

EDUCATION: To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.

SPECIFIC REQUIREMENTS

  • Minimum 3 years of pertinent experience preferred
  • Proven track record in general office procedures
  • Excellent written and oral communication skills
  • Ability to deal politely, efficiently and effectively with people
  • Strong organizational skills
  • Proven track record to work independently and under time pressure
  • Overtime and evening work may be required occasionally
  • Knowledge about Continuing Education programs, courses and processes an asset
  • Ability to work with CLARA and SOCRATE systems an asset
  • Ability to demonstrate/apply a high level of confidentiality to all tasks
  • Basic French and Advances English ability
  • Word (intermediate) and Excel (basic) knowledge
