SALARY RANGE (ANNUAL) 96,377.00$ - 128,500.00$ Under the supervision of the Director of Student Services (DSS), the Coordinator of Student Services is responsible for certain management functions (leadership, organization, direction, communication, H.R. management, policy implementation and evaluation) respecting programs, services and operations related to major events in Student Services (i.e.: graduation, awards evening ceremony, parent night, etc.), the Athletics Department, recreational activities, intramural sports, college league sports, socio-cultural, extra-curricular activities, wellness activities as well as overseeing the operations of the Student Services front desk. The incumbent is also responsible for the implementation and management of systems required for effective operation of the multi-purposes rooms and for the verification and control of departmental procedures related to his/her activities. The incumbent supports the mission, vision and goals of Cégep Heritage College in both the regular and continuing education sectors. In consultation with other services, the incumbent manages all the sports facilities and the use of them. The incumbent will also be called upon to interpret and apply by laws, procedures and regulations related to the college, its activities and students.

FUNCTIONS The Coordinator of Student Services exercises his or her functions more specifically in the following areas:

For the College, the Coordinator of Student Services, in consultation with the DSS:

Represents the College both internally and externally on committees related to his or her sector of activities;

Ensures that all laws, policies, procedures and regulations related to his or her sector of activities and  the College are respected;

Provides advice and recommendations to the Director of Student Services and to other Management  members concerning his or her sector of activities;

Develops and promotes effective collaboration between his/her sector of activities and other College Departments and Services;

Coordinates the distribution of information regarding various operations under his/her responsibility;

Represents the Director of Student Services (when absent or not available) in situation pertaining to  the enforcement of the Student Code of Conduct or crisis management .

For his or her Administrative Sector, the Coordinator of Student Services:

Assists the DSS with different administrative tasks related to the operations of the department;

Oversees the operation of the front desk and supervise personnel in this sector;

Provides guidance and supervision to staff;

Oversees Student Development and Activities which includes but not limited to: socio-cultural,  extracurricular activities, multicultural activities and programming, sports and Varsity teams as well as  some Health and Wellness programming;

Manages and supervises personnel working in his sector of responsibilities;

Prepares reports and recommendations aimed at improving services offered to students;

Is responsible for the management of budgets in his/her sectors;

Participates on College committees as assigned by the DSS;

Represents the College with external organizations and at the provincial level when required;

Works collaboratively with staff in Student Services;

Prepares the operational calendar for his/her sector to ensure that all college and Ministry deadlines are respected;

In collaboration with the DSS, conducts meetings with personnel, Student Services and other professionals and committees;

Prepares and develops forms, dynamic documents, writes and reviews procedures in consultation with the Director of Student Services;

Produces statistics related to operations under his or her responsibility and as requested by other College departments or external organizations;

Participates in the elaboration of policies, programs, work plans, development plans and budget plans related to his or her sector;

Is responsible for the organization of various students’ events such as, but not limited to Graduation, Student Orientation, Cégep readiness program, Graduation, Student Award, etc., in collaboration with the Student Services team;

Develop and implement programs to support student success.

Coordinates the maintenance and access to the multi-purpose rooms, yoga room and sports facilities, according to College Policy and Ministerial regulations;

Hires personnel in his/her sector of activity (i.e.: fitness center employees, coaches, Student Services personnel, etc.);

Follows up appropriately with the dissatisfaction of students and users;

Develops means to assess user satisfaction;

Receives and analyses budgetary requisitions and submits recommendations;

Education

A minimum of a Bachelor’s degree in a related field which is recognized as equivalent by the competent authority.

Experience

Three (3) to five (5) years of relevant work experience, including some experience in the management of sports and socio-cultural events and activities as well as the management of employees.

Experience working with Student Services and adult students would be considered an asset.

Excellent knowledge and skills in the use of technology in a Windows environment with software such as MS Word, PowerPoint, Excel.

Must be able to travel, work evenings and weekends as required.

Appropriate Microsoft Computer Skills.

Proven ability to work within a team and with minimal supervision.

Excellent work ethic.

Knowledge of the Cégep system would be an asset.​

Experience working in a unionized environment would be considered an asset;

Understanding and knowledge of the diversity of the student clientele.
